Job Description:
The Executive and Marketing Assistant position at L’Oreal is a split role, with equal responsibility for providing executive support to the General Manager of Consumer Products Division (CPD) and assisting one of the CPD brand teams in marketing-related tasks. The incumbent will report to both the General Manager and the Marketing Manager.
Key Job Accountabilities: Executive Assistant
- Organize team events and activities, ranging from large-scale offsites to regular small-scale gatherings
- Support corporate employee and social responsibility events like Citizen Day and product donation programs
- Act as a power user for corporate systems, processes, and events that go beyond the scale of a single brand
- Prepare presentations and aggregate information
- Coordinate the onboarding of new employees, including file transfers, FIT course planning, and IT and telephone requests
- Maintain employee and mailing lists
- Handle travel bookings and expense claims for the General Manager
Key Job Accountabilities: Marketing Assistant
- Provide administrative and technical assistance for product management, events, activations, and meetings
- Create and monitor purchase orders, budgets, and expenditures
- Manage recurring processes such as testers and returns, as well as artwork processes
- Maintain presentation files with updated marketing data
- Facilitate communication and collaboration between various departments (Sales, Merchandising, PR, Training, etc.)
- Liaise with external service providers such as market research firms, advertising agencies, and media buying agencies
- Distribute marketing information within the department
Technical/Professional & Personal Competencies Required:
- Strong organizational skills to optimize the activity of the manager or team
- Proactive and able to prioritize tasks effectively
- Service-oriented mindset with a sense of availability and responsiveness
- Proficient in drafting simple or complex responses to letters and emails
- Ability to summarize and analyze important points in responses
- Skilled in identifying useful documents and information within the department and managing their distribution
- Excellent communication skills, both within the organization and with external parties, while maintaining discretion and confidentiality
- Proficient in handling administrative and technical tasks related to the role, and reporting on them
- Updated knowledge and proficiency in relevant professional applications
- Curiosity and awareness of the sector, including vocabulary, rules, processes, and network
- Project management skills, including coordination with internal and external partners
- Ability to handle contacts with participating parties according to their contribution to the project
Qualifications and Experience Required:
- Bachelor’s degree, preferably in Marketing or Communications
- Minimum of 2 years of experience as a Marketing or Executive Assistant, or comparable project work
